Emails from the Enquiry Form
Our Contact Enquiry Form is a simple way for you to send us details of the service you require from us. The information provided is only used for our company to build quotes for services offered. Only our colleagues process this information to build estimates/quotes in-house and information does not leave our office. We do not store these emails on a database and do not use them for mailing lists.
We never send unsolicited emails to our clients, and will only contact you in regards to any services you request from us. Emails are only backed up onto local disk drives and are not accessible to anyone who is not a company employee.
We do not share these client emails or email addresses with any external parties, unless we receive express permission from the client to do so (such as when forwarding on a message at their request).
Invoices
We hold names, company addresses, telephone numbers and email addresses from our clients for invoices. This is only used for accounting and tax purposes. Under the GDPR we are not required to ask for consent to send invoices and other transactional emails to customers. We only use this personal information internally and do not share any information with other businesses or for marketing reasons.
How We Collect Our Data
Our Data is initially collected when the customer requests a collection. Here the necessary details are input, to ensure the collection goes smoothly. The main private information collected here is name, contact number, and collection address. Name so we can identify the individual customer, contact number used to contact and arrange the collection, and lastly the collection address so we know where to collect the data from.
This data arrives in our info@click4clothingcollection inbox. It can only be accessed by the admin staff employed in our office who will know how to professionally handle the data, and the owners of the company, though very rarely this is the case. From there the data is exported to an excel document ‘Outstanding Collections’, where the collections are arranged and marked as confirmed or not. Once the collection has been completed, it is safely stored in our completed collections folder, this is done by our admin carefully and correctly. This data is deleted completely after 1 month.
OptimoRoute is the route planner we use to navigate from address to address during collection. The drivers will have the address of the customer in the application as well as contact number, which is used in case the driver is having difficulty in reaching the customer. Drivers only use this information to complete the collection and therefore after this is deleted and is no longer accessible.
We take our customers data very seriously and only use it to be able to complete the collections. We do not sell or share any of our customer’s information, it is safely stored and accessed by very limited personnel. The passwords used to access this information are very secure. All of our computer devices are protected by top of the range security to avoid any possible data breach.
The ‘Right to Be Forgotten’
Under the new GDPR, individuals can now request ‘the right to be forgotten’. If for any reason you’d like to have your personal data removed from our systems or to request a report of what data we hold on you, it is your legal right to request this and for us to comply within 1 month. We will provide a report to show you this has been done. For more information from the ICO regarding ‘the right to erasure’, please see here.
If you’d like your web data to be erased, please contact us via the Contact Us form.
